This Privacy Policy explains how St. Vincent’s College Incorporated (“the School”, “we”, “us”) collects, uses, and protects personal information in the TESDA online enrollment system and the Facebook Messenger bot named SVCT Enrollment Bot.
We process personal data in line with the Philippine Data Privacy Act of 2012 (Republic Act No. 10173) and Meta’s Platform Terms for Messenger.
1. Who we are
The School operates a web enrollment system for TESDA / technical-vocational programs and a Facebook Page chatbot that sends official notices to applicants who choose to link their Messenger account.

2. Information we collect
Depending on how you use the system, we may collect:
- Enrollment data: name, sex, contact number, course, student or application ID, and other form details you submit.
- Account data: student portal username and password (the password is stored as a secure hash after it is issued).
- Staff workflow data: registrar, clinic, cashier, and dean records needed to process enrollment (including uploaded files such as payment proof where you provide them).
- Messenger data: your Facebook Page-scoped ID (PSID), the text you send to the School’s Facebook Page (for example your Student ID), and the time your account was linked. We do not receive your Facebook password.
3. How the Messenger bot uses your data
SVCT Enrollment Bot is used only for school enrollment, not for ads or public posting.
- You message the School’s Facebook Page and send your Student ID so we can link Messenger to your enrollment record.
- When subjects are added or you are marked officially enrolled, the bot may send your student portal username and password to that same Messenger conversation.
- Messages are sent only to people who have linked their account this way, or who are testers/admins of the app during development.
Facebook / Meta processes the message delivery. Their own policies apply to your use of Messenger: Meta Privacy Policy.
4. Why we use this information
- To receive and process TESDA enrollment applications.
- To identify you as a student or applicant and complete registrar, clinic, cashier, and dean steps.
- To create your student portal login and send it through Messenger when you have opted in by messaging the Page.
- To keep school records required for enrollment and TESDA reporting.
We do not sell personal information. We do not use Messenger data for marketing to the public.
5. Sharing
We share information only as needed to run enrollment:
- Authorized school staff (department/registrar, clinic, cashier, dean, ledger).
- Hosting provider (the server that runs this website).
- Meta, solely to deliver and receive Facebook Messenger messages you send or we send in reply.
We may disclose information if required by law or TESDA / school regulation.
6. Storage and security
Records are stored on the School’s enrollment server. Access is limited to authorized staff accounts. You should change your portal password after first login and should not share Messenger or portal credentials.
7. How long we keep data
Enrollment and Messenger link records are kept for as long as needed to complete enrollment, provide student portal access, and meet school or TESDA record-keeping rules. Linked Messenger IDs can be removed on request (see below).
8. Your rights
You may request to:
- Access the personal data we hold about your application.
- Correct inaccurate information.
- Unlink your Facebook Messenger account from your enrollment record.
- Ask for deletion of Messenger link data, subject to records the School must keep by law.
Email [email protected] from a contact we can verify, and include your full name and Student ID.
9. How to request deletion of Messenger data
To unlink Messenger or ask us to delete your Page-scoped ID and chatbot messages stored in this system, email [email protected] with subject SVCT Enrollment Bot data deletion and your Student ID. We will process the request within a reasonable period. Enrollment records the School is required to retain may be kept even after the Messenger link is removed.
10. Children
This system is for TESDA / college enrollment. If an applicant is a minor, a parent or guardian should complete enrollment and Messenger linking on their behalf where required by the School.
11. Changes
We may update this policy when the enrollment system or Messenger bot changes. The “Last updated” date at the top will change. Continued use of the website or bot after an update means you have read the revised policy.
